June 26, 2009:  Videophone Conference and E-mail Tips

If you would like to host a video phone conference with up to sixteen participants, please fill out the videophone conference form. Please note that you must be a member of the Gallaudet community with a valid Gallaudet e-mail in order to utilize the videophone conference system.

Google Mail has come out with an excellent tips on how to best manage your Gallaudet e-mail.  You can read more about this at Become a Gmail Ninja.

ITS has enabled a security feature with Password Reset where all reset attempts will be emailed to the account that is being reset.  If someone has either successfully, or unsuccessfully, attempted to reset your Gallaudet University password then you will receive an e-mail notification.  If the password reset attempt was not authorized then you can respond to the e-mail notification that you receive so the incident can be investigated by the security team.

Gallaudet mail has a new feature where you can include a picture inline in your e-mail.  This requires you to enable Google Labs and add the Insert Image application.  One caveat about this feature:  If you are communicating with someone who uses Google Mail, the image may not be displayed unless the user allows this.  For more information, please check out the Gmail Blog about inserting images.

Our e-mail vendor, Google, has updated the look and feel of Gallaudet Mail and there are updates with how folders and labels are handled.  For more information about the changes, please look at the Google blog about Folders and Labels: the best of both worlds.

We recently enabled Gmail Labs for Gallaudet Web Mail, which will give you additional features that may be useful to you.  You can enable features such as the "Forgotten Attachment Detector" which will remind you when you may have mentioned an attachment in your e-mail but you forgot to attach the file to your e-mail.  Another useful feature is "Tasks" so you can keep track of important things that you need to do.  Update: Google Labs also gives you the ability to read your e-mails offline - when your computer is not connected to the network.  This is particularly useful if you are using a laptop and regularly work outside of your office.

In order to enable Gmail Labs, you will need to click on Settings on the top right of your browser and then click on the Labs link and enable features that you are interested in.

Please note that Gmail Labs are experimental and features offered may change, break, or disappear at any time.  ITS has no control over features that are offered in Gmail Labs.

There was a phishing e-mail that was sent to a number of individuals at Gallaudet asking for your username and password. This e-mail was not sent by any individuals at Gallaudet and you can safely ignore the e-mail if you received one this morning. If you replied to the e-mail with your username and password, please reset your password as soon as possible by going to http://reset.gallaudet.edu.

Phishing is a message that is well crafted and official looking e-mail asking for your personal data (passwords, social security numbers, credit card number, etc.) There is usually a short time period, usually within 1-2 days, where you must respond or your account will be suspended or deleted. Gallaudet, and most companies, will not request that you share your confidential information.
